1. Overview

This Payment & Billing Policy (“Policy”) outlines the billing, invoicing, deposits, fees, and payment procedures for all Services provided by VRL PRO DIGITAL (“Company,” “we,” “our,” or “us”). By engaging our Services, you (“Client,” “you,” or “your”) agree to the terms outlined herein.

This Policy applies to:

  • Fixed Project Work (websites, branding, campaigns, video production, etc.)
  • Retainers & Subscriptions (SEO, monthly marketing management, consulting, etc.)
  • Consultations/Training Sessions (one-time or packaged)

2. Accepted Payment Methods

We accept the following payment methods:

  • Bank Transfers (NEFT/RTGS/SWIFT/IMPS)
  • Online Gateways: Stripe, PayPal, Razorpay
  • Credit/Debit Cards (via secure gateways)
  • UPI (for Indian clients only)

⚠️ We do not accept cash or unsecured transfers.


3. Currency & Conversion

  • Indian clients are billed in INR (₹).
  • International clients may be billed in USD, GBP, EUR, AED, or other agreed currencies.
  • For PayPal/Stripe transactions, applicable FX conversion rates and gateway fees apply.
  • Client is responsible for bearing bank charges, wire fees, and foreign exchange charges.

4. Deposits & Advance Payments

4.1 Projects

  • All fixed projects require a 50% advance deposit prior to commencement.
  • Remaining balance is due upon delivery, or as per agreed milestone schedule.

4.2 Retainers & Subscriptions

  • Clients must pay 100% of the first cycle (e.g., monthly fee) in advance.
  • A ₹5,000 (or equivalent) refundable security deposit is also required before onboarding.
  • Future cycles are auto-billed or invoiced 7 days before renewal.

4.3 Consultations & Training

  • Must be paid in full in advance at the time of booking.

5. Invoicing & Due Dates

  • Invoices are issued electronically via email.
  • Standard due date: 7 calendar days from invoice date unless otherwise stated.
  • Overdue accounts: May incur a 2% monthly late fee or maximum permitted by law.

6. Security Deposit (Retainers)

  • A ₹5,000 (or equivalent) deposit is required for all retainer contracts.
  • Held as security against non-payment, early cancellation, or breach of agreement.
  • Refundable within 15 Business Days after successful completion of the retainer term, provided all dues are cleared.
  • May be forfeited to cover unpaid fees, penalties, or damages.

7. Taxes

  • All invoices include applicable GST (for Indian clients).
  • International clients are responsible for VAT, GST, or import taxes in their jurisdiction.
  • Taxes once remitted to authorities are non-refundable.

8. Non-Payment & Default

  • Services may be paused or terminated if payments are overdue by more than 10 days.
  • Deliverables may be withheld until full payment is made.
  • Persistent non-payment may lead to legal recovery or third-party collection action.

9. Refunds & Cancellations

Refunds and cancellations are governed by our separate Refund & Cancellation Policy. Key points:

  • A 10-day refund window applies from project start or billing date.
  • After 10 days, payments are non-refundable.
  • Third-party costs (ad spend, hosting, plugins, licenses, etc.) are non-refundable.

10. Chargebacks & Disputes

  • Clients must contact us at info@vrlpro.com to resolve billing issues before initiating chargebacks.
  • Unauthorized chargebacks may result in service suspension and recovery of dispute fees.
  • We maintain full documentation (contracts, approvals, deliverables) to contest invalid disputes.

11. Payment Processing & Security

  • All online payments are processed through PCI-DSS compliant gateways (Stripe, PayPal, Razorpay).
  • We do not store card details on our servers.
  • Clients are responsible for ensuring their payment details are accurate and up to date.

12. Force Majeure

We are not responsible for payment delays caused by events beyond our control (e.g., banking network failures, international sanctions, natural disasters).


13. Governing Law

This Policy is governed by the laws of India, with exclusive jurisdiction in the courts of Vadodara, Gujarat.


14. Updates to This Policy

We may revise this Policy from time to time. Updates will be published on this page with the revised effective date.
